Commission Payments
If you prefer commission payments, we are pleased to accommodate your request. Please include your IATA number, name, company name, email address, and phone number in the booking notes section.
After the guest has completed their reservation, kindly send an invoice requesting the commission payment for the nightly stay to the attention of John Wade at Volcano Village Estates, PO Box 389, Volcano, HI 96785. You can email the invoice to innkeeper@volcanovillageestates.com. It is important to include the booking ID of the reservations and specify where to send the check payment.
Please note that commission payments are not automatically sent out; you must send an invoice. Our team will promptly process the commission payment. If you haven’t received a response within 3 weeks, please get in touch with us for further assistance. All payments are made in US dollars by check and sent via the United States Postal Service from Hawaii. Therefore, payments being sent to non-USA addresses or the mainland may take longer to arrive.
Deposits and Cancellations
All travel agent bookings are subject to our standard cancellation and deposit policy. A non-refundable one-night deposit is required at the time of booking to confirm the reservation. The remaining balance will be charged to the card on file 7 days prior to the stay. If you wish to use a different card for the balance payment, please get in touch with us by phone during our business hours, and we will gladly update the credit card information on file. Please note that commissions are not paid on canceled bookings or non-refundable deposits and payments.
Special Packages for Group Bookings
For travel agents booking larger groups or special events, we encourage you to email our Head Innkeeper. Our dedicated team will work closely with you to curate a personalized package that caters to your client’s specific requirements and preferences. This could include arranging a wine and cheese reception upon their arrival, delightful picnic lunches for the group, or rejuvenating on-site massages. Note that we do not pay commission on upsells, only the room.
